Scope of Work

Project Objectives
Many local businesses rely on fragmented tools to manage customer relationships, including spreadsheets, messaging apps, and manual follow-ups. While traditional CRM platforms exist, they are often designed for larger enterprises and can feel overly complex or difficult to customize for smaller organizations.
Blaze CRM was conceptualized as a custom CRM builder designed specifically for local businesses. The platform allows businesses to manage leads, automate follow-ups, and streamline their sales processes through a system that can be tailored to their specific workflows.
The goal of the project was to create a CRM platform that balances flexibility with usability, enabling businesses to build and manage their own CRM structures without requiring advanced technical knowledge.
As part of the product design process, the UX work focused on structuring the overall user experience of the platform, including dashboard design, lead management workflows, and automation features that support daily business operations.

Project Objectives
The main objective of the Blaze CRM project was to simplify customer relationship management for small and medium-sized businesses. Many CRM tools on the market offer powerful functionality but require complex configuration processes that can overwhelm new users.
One of the key design goals was to create a system that allows businesses to build CRM structures that match their unique sales processes. This meant designing flexible workflows while ensuring that the interface remains easy to understand and navigate.
Another goal was to improve how businesses track leads and manage follow-ups. The platform needed to provide clear visibility into customer interactions so that businesses could respond to opportunities more quickly and maintain stronger relationships with their clients.
Ultimately, the design aimed to help businesses organize customer data, automate repetitive tasks, and gain better insight into their sales pipeline.

Understanding the Users
The primary users of Blaze CRM are local business owners, sales teams, and small operational teams who manage customer relationships as part of their daily work. These users often juggle multiple responsibilities and may not have dedicated tools for managing sales pipelines or customer communication.
Initial exploration revealed that many small businesses track leads manually using spreadsheets or messaging platforms. While these methods may work initially, they often become difficult to manage as the customer base grows.
Another key insight was that small businesses prefer systems that are flexible but simple. They want tools that adapt to their workflow rather than forcing them to adopt complex CRM structures designed for large organizations.
Users also expressed a need for better visibility into their sales process. They want to quickly understand which leads require follow-up, which deals are progressing, and where potential opportunities may be lost.
These insights highlighted the need for a CRM platform that prioritizes clarity, flexibility, and automation.

Defining the Problem
Research and early user discussions revealed several challenges faced by local businesses when managing customer relationships.
One of the most common issues is the lack of a centralized system for managing leads and customer interactions. Information is often scattered across spreadsheets, messaging threads, and personal notes, making it difficult to track the progress of potential deals.
Another challenge is the manual effort required to follow up with leads. Without automated reminders or workflow tools, businesses risk missing opportunities or losing contact with potential customers.
In addition, many existing CRM platforms feel too complex for smaller teams. Users may struggle to configure pipelines, workflows, or automation features that align with their business processes.
Problem Statement
Local businesses need a CRM platform that allows them to manage leads, automate follow-ups, and track customer relationships in a system that is flexible yet easy to use.
How Might We
How might we help small businesses manage leads and customer relationships more effectively?
How might we simplify CRM customization so businesses can adapt the system to their workflows?
How might we reduce the manual effort required for follow-ups and sales tracking?

Ideation & Solution Exploration
During the ideation phase, the design process focused on creating a CRM experience that balances customization and simplicity. Several concepts were explored to support how businesses manage leads and track their sales pipeline.
One of the key ideas was a visual sales pipeline, where users can track leads through different stages of the sales process. This approach allows businesses to quickly understand where each opportunity stands and what actions need to be taken next.
Another concept focused on automation features that help users manage repetitive tasks. For example, automated follow-up reminders and workflow triggers can ensure that leads are contacted at the right time without requiring manual tracking.
The platform also explores the idea of a custom CRM builder, allowing businesses to create their own fields, pipelines, and workflow structures based on their operational needs. This flexibility enables different types of businesses to adapt the system to their processes.
Early interface designs and dashboard concepts were created to visualize how users interact with these features. Wireframes and prototypes helped explore how lead data, customer information, and automation workflows could be organized in a clear and accessible interface.

Results & Key Takeaways
The Blaze CRM concept introduces a flexible platform designed to support the operational needs of local businesses. By focusing on clarity, customization, and automation, the system helps businesses organize customer information and manage their sales pipeline more efficiently.
The platform provides tools for lead management, automated follow-ups, and workflow tracking, helping businesses maintain stronger relationships with their customers while reducing manual administrative work.
One of the key insights from this project is the importance of designing CRM systems that prioritize usability for non-technical users. Small businesses often need powerful tools, but those tools must remain accessible and easy to understand.
Future improvements for the platform could include deeper analytics for sales performance, improved automation workflows, and integrations with communication tools to further streamline business operations.
